How to Respond to Criticism

Criticism is easier to answer when you know which specific action is being discussed. Separate useful feedback from vague judgments, and decide what you agree with before replying.

Illustrative examples from Find My Reply. Adapt them to the facts and review before sending.

Ask for an example before defending yourself

“This is not good enough” does not tell you what to change. Ask which part fell short and what was expected. If the criticism is justified, acknowledge the specific issue. You can accept one point without agreeing with the whole assessment.

State your view and any next step

When you disagree, give a relevant fact rather than a counterattack. If you made a mistake, describe a realistic correction without inventing a deadline. For personal remarks, bring the conversation back to the work or behaviour being discussed.

A situation from everyday life

You are criticised for a delayed task after prioritising a different project.

One possible reply

I focused on the other project because I understood it was the priority. Could we confirm which task should come first now?

Example: three ways to reply

Choose an example to request detail, acknowledge part of the feedback or set a boundary around personal judgments.

1

Thank you for the feedback. Could you give me one specific example so I can understand?

2

I see your concern. I agree with part of it, though I see the situation differently in one respect.

3

I’m open to discussing the work, but I’d prefer to avoid personal judgments.

Check before sending

Avoid apologising for something you have not established or promising to accept every requested change. Check whether your reply leaves the other person knowing what will happen next.

Write your own reply

Describe the message, your relationship and what you want to communicate. Compare gentle, direct and firm drafts, then adapt the wording before sending.
